How an AI Intake System Could Work for a PI Practice

An illustrative walkthrough of automated intake for personal injury law: acknowledgment, qualifying questions, case scoring. None of it describes a real client.

By Lucas Harris, CEO & Lead Architect, Mission Hub

A lot of personal injury practices run intake the same way: a contact form or phone line, a callback whenever someone gets a free moment, and a qualification conversation that happens entirely by hand. It works, but it’s slow, and in PI, slow intake usually means losing signable cases to whichever firm called back first.

None of what follows describes a real Mission Hub client. It’s a walkthrough of what an automated intake system for a practice like this typically looks like.

What an automated intake system typically includes

  • Instant acknowledgment, the moment a lead comes in, they get a real response instead of silence until a callback happens.
  • Automated qualifying questions, injury type, timeline, whether they’ve seen a doctor, prior representation, so the intake team only spends time on leads worth a real conversation.
  • Case-score classification, so higher-value or time-sensitive cases surface first instead of sitting in the same queue as everything else.
  • A hot-lead alert, strong leads get flagged to a real person immediately.

An illustrative example, not a real client

Picture a solo PI practice getting around 20 inbound leads a month, but only booking a handful of consultations because callbacks routinely take a day or more. Automating the first response and the qualifying questions is the kind of change that can reasonably move a booking rate, how much depends entirely on the practice’s current process, lead quality, and follow-through. We wouldn’t publish a specific before/after number here without a real, documented client behind it.

None of this replaces judgment on your intake team’s part, a scoring system flags what to prioritize, it doesn’t decide who to sign. The goal is fewer leads sitting untouched for a day, not a fully automated law practice.
